Job Purpose

- Perform secretarial, Administrative duties for General Manager and division, in a confidential and effective manner, as well as control appointment and meetings of General Manager to assist in carrying out GM’s commitment in an organized manner.

Job Description

- Carry out administrative duties for the division such as document management, visitor interface, mail distributions, and arrangements of meeting to ensure effective operation of the division.

- Prepare documentation, presentation, and minutes of the meeting to effective conduction of business meetings.

- Create and maintain files, records, communication of division to ensure all documents (paper/electronics) are systematically filed and readily retrievable.

- Maintain Meeting Schedule/Calendar, agenda, to-do-list, work related appointment and other commitment in orderly manner to effective time management of General Manager.

- Compile and make-ready reports & documents for General Manager to submit to Management committee, interested parties.

- Carry Out processing of TAA (Time And Attendance), attendance anomalies, overtime, vacation etc. in HRMS (Oracle) and training & Business assignment data entry to ensure computer systems are updated for real time data.

- Assist division in organizing official events such as presentations, training programs, services awards, farewell etc. to facilitate successful organization of the event.

- Ensures availability of stationary & consumables requires for the department to assist departmental staff for carrying on their work in timely manner.

Job Requirement

- Diploma in Office Management or Secretarial studies from recognized institution.

- Keyboard Typing speed 40 words per minute and preferably shorthand ability 50 to 80 words per minute.

- Minimum Seven (7) years post qualification experience performing secretarial and clerical duties. 

- Proficiency in use of Microsoft office application such as Words, Excel and Power Point.

- High standard of English and Arabic proficiency skills.

- Knowledge of administrative and company’s policies, procedures and systems.

- Managing files and records, designing forms, and other office procedures and terminology.

- Be of pleasant disposition and have a flexible personality and be able to work under pressure and to adhere to strict time deadlines.
